Reservations

ECE Conference Room and Equipment Reservations

The department has implemented the below policies for room reservations.  While you can reserve other rooms, the ECE department is only able to approve of the rooms listed below. Other rooms you may reserve will be approved by another department or the Dean's office.

Reservations for the four ECE conference rooms (Kemper 1127, 2101, 3087, and 3089) must be submitted using the Community Online Web Scheduler (COWS). Reservation requests should be submitted at least 5 business days prior to the event, 10 business days is preferred. Same day reservation request approvals are unlikely to be processed due to the high volume of reservations and the limited space availability. The ECE department reserves the right to change or remove a reservation based on department priority. If at any time, the following guidelines are not followed, we will revoke all future reservations in Kemper 1127/1131, and you will have to reserve other campus conference rooms for recurring events. 

Key Reservation Protocols

  • All rooms are locked and require a physical key for entry. After your reservation request has been approved via COWS, please contact ECE staff at ecereservations@ucdavis.edu to check out a room key.
  • The room key must be picked up at the ECE office (Kemper 2064). Email ecereservations@ucdavis.edu prior to coming to the ECE office to schedule a pick-up time. Please note that ECE staff are currently on a hybrid remote/in-office schedule, so making this request ahead of time is pivotal.
  • The key must be returned to the Homework Box room in Kemper Hall, Room 2131, within 24 business hours after your reservation time ends. The key drop box is #5. Please email ecereservations@ucdavis.edu after you have dropped-off the key.
  • If the key is lost or not returned within 24 business hours, your future reservation requests will be denied until a faculty member emails Jide directly stating that they will again sponsor you to reserve rooms. In addition, there will be a lost key fee of $50 that you would be responsible for if the key is lost.
  • Keys cannot be transferred to others. The person responsible for submitting the room reservation is solely responsible for picking-up the room key. If a key is transferred to someone that isn’t approved for the room reservation, your future reservation requests may be denied until a faculty member emails Jide directly stating that he/she will again sponsor you to reserve rooms. In addition, there will be a lost key fee of $50 that you would be responsible for if the key is lost.

Room Etiquette

  • Start and end your reservation on time. If you need to cancel your room reservation, you must email ecereservations@ucdavis.edu immediately and also return the key so that others are able to use the room.
  • For events that are catered, the expectation is to fully clean the space before your reservation ends. The department is supplying cleaning supplies. They are located in the 3 drawer cart storage bin located in the room. Also, drinks must not be poured into the sink. This will close blockage.
  • If you are anticipating a large attendance where trash will overflow, additional custodial cleaning is mandatory, and you must notify the ECE business office to submit a Facilities work order at least 10 business days prior to your event to ensure additional cleanup is scheduled once your event ends. Please contact ecereservations@ucdavis.edu for more information.
  • Return all technical equipment, chairs and seats to their proper place at the end of your reservation.
  • It is the responsibility of the requester to re-organize the conference room setup and sanitize and clean after your event. If food is being catered, it is your responsibility to empty the trash bins if they become full. If this is not done, your future reservation(s) may be cancelled, and your ability to get approved reservations in the future may be denied. Rooms are checked routinely to ensure that they have been cleaned properly after use. 
  • In Kemper 1127 and 1131, the partition cannot be moved to open or divide the room without prior authorization and notice. If damage is caused to the partition by the event organizer, they will be held responsible.
  • Erase the chalkboard/whiteboard, turn off the lights, and close the doors at the end of your reservation.
  • All reservations are based on space availability. We will do our best to work with you to provide alternate times and space, if necessary.

Student Groups/Organizations

  • Your student organization/club must be officially recognized by the University (learn more).
  • When submitting the room reservation request online, please include your faculty advisor name and contact information (email).
  • In order to have your room request approved, your faculty advisor will be contacted by email to verify that they are sponsoring the reservation.

ECE Equipment Reservation 

Rental reservations for ECE department equipment must be requested via email to ecereservations@ucdavis.edu. Reservation requests should be for business use only, and you must send your email request at least 5 business days prior to the pickup date, 10 business days is preferred. The ECE department reserves the right to change or remove a reservation based on department priority.

Equipment must be checked out and returned only to the ECE reception desk at 2064 Kemper Hall. Reception desk hours are Monday-Thursday, 9:00am-12pm and 1-4pm. Equipment must be returned within 24 hours, 72 hours at the latest. If equipment is lost, you may be subject to the cost to replace the item(s).
